Vtiger CRM 5.1.0 - Progress Update 4

Viger CRM wip demo server is updated with the latest 5.1.0 source which is under development. Feel free to try out the demo and give us your feedback.
Following are the key features included:
1. Product Bundles [ProductBundles.pdf]
Products can now be sub-product of other Products.
2. Mass Edit [MassEdit.pdf]
Multiple fields of multiple records can now be edited through ListView (An enhancement over QuickEdit)
3. Mail Scanner [MailScanner.pdf]
You can configure the Email box to be scanned. You can also put the rules on the Email and take action based on it like Create Ticket, Account etc. (Revamp of Email Ticketing)
4. Recurring Invoice [RecurringInvoice.pdf]
SO can now be used as template and the recurring frequency can be set, based on which, Invoice will be created periodically.
5. Faq attachments [FaqAttachments.pdf]
Documents can now be attached to Faq also.
6. Customer portal enhancements [CustomerPortalEnhancements.pdf]
Few Configurations provided for Customerportal through Vtiger CRM.
7. Make all fields sortable in ListView.

Thank you for this update.
I have a question about Recurring Invoice :
Suppose I sell space on my servers, I charge my customers per Giga each month. How can I use this system to make the invoices automaticaly ?
We already have the total amount of space used by the customers in a custom field (current_space).
Is it possible to generate another calculated field wich would be : current_price = current_space * price_per_gig
(The price_per_gig would be taken directly from the product’s price.)
and then use this calculated field (current_price) when generating the invoice ?

Right away, it is not possible to achieve what you are trying as the Prices are the copy of the Sales Order and not computed everytime. You can achieve this by doing some code level modifications in - cron/modules/SalesOrder/RecurringInvoice.service

Don’t you think Recurring Invoices with variable amount would be a nice feature to add ?
Many companies have to invoice customers each month but on variables amounts.
Not all the companies use flat rate invoicing. Most of the companies selling services have to invoice on the amount of service used by the customer during the past period (time, space, bandwith, …)
We already have something similar running in vtiger for a couple of years but it is “hard coded” and it does not use the API (it was not available at that time).
We would be happy to switch to the new system if it meets our needs.
We could contribute by extending the current Recurring Invoice to add this variable amount functionality.

I have seen a lot of CRMs where informations are a kind of boxed in different tabs without any reason.

Great to see next update on 5.1, its making us salivate even more for the final release
One feature that we feel is needed is some kind of formula builder. This can be used at many places for example in Custom Fields. User can create custom fields that can be populated automaticaly with data from other fields or maybe uisng today’s date, month, etc. [Say we have one DOB Field and calculating Age will be Today’s date-DOB]. Second use could be in the Reports, where users can create calculated coloumns [Profit=sales-cost].

How about ability to add time used to service a ticket
We would like to have the ability to add how much time we have used on a ticket:
Date, time start, time end, Total time, Service person.
The ability to add multiple entrys.
The ability to add them all to a SO
There might be the ability to add all closed tickets for each Account/Customer to one SO for each Account/customer. And have the tickets have a invoiced field that changed status to “Invoiced”. So they would not show up next month (we invoice once a month).
That field should also have a status “Not invoiceable”.
In Accounts for the customer, you would set the product used in SO, so you could have different products for different customers
Lastly there should be a control on Accounts where you could set if the Account was on a Contract, and then there would not be generated any SO for that Account.
Just my 2 cents, and all the other enhancements look fantastic.

The time keeping is a good idea. But I think it makes more sense for a separate timesheet module(I’m not sure whether there is any timesheet module available) which lists the tickets as Cost Objects. This way if somebody is not interested in timesheet he/she can simply avoid this module. The timesheet module may be a great help for the sales team also.
Another work around is to make the time recording feature optional.
The current ticket interface is simple and it may be nice to keep it simple.
Most of the popular timesheet system uses Not Billable instead of Not Invoiceable(my dictionary couldn’t find such a word
)

Not Billable is the right word, guess it to early in the morning for the neurons.
A seperate module may also work but, then you would have to go first to ticket to write a comment then to a timesheet module to input the time used, would be nice to have that in one page/screen, maybe we could have it as an option as you suggest as an “Enhanced” Ticket module?

Well, as always some of the new functions are a big surprise to me. What I like most is the vtwcslib enhancements, allowing us to build new applications much faster.
Here is a short list of my first observations:
The product selection through the product bundles is still based on product names. This might lead into problems if you use simelar (or long) names for different products. A possible solution would be, to make the part number in the selection menue selectable and perhaps include the part number into the detail/edit view of quotes/orders/invoices.
At the new Mass Edit function the js-calendar icon is placed but the calendar does not open. You may want to replace the text “Select fields to be updated and give the new value” by “You may select the fields to be updated and provide a new content.” and include this into a language file.

I have a question related to activities and invitations for activities. Now, when you invite someone to an activity that doesn’t integrate it in your calendar.
I suggest to develop something like when you invite someone, when she receives the invitation in an email to have a link to accept or deny. If accept, the activity will be integrated into her calendar. If denied, the one who invited, to be notified by email.
Do you have any ideas on that or any developments/enhancements on this issue in 5.1?

Thats fantastic news about the products in the C/P, this version of vtiger is going to be almost perfect for us.
one other question, are you planning to do anything with the webforms for 5.1? it would be fantastic if the lead and contact forms collected all the address information, i.e street, town, city,county,post code as well as the information collected already.
this would certainly stop us from having to manually putting this into the system after we have contacted the lead.

Quick feature request I just thought of. Is it possible to duplicate a custom filter ?
We filter a lot of things by the user assignment. I get the fields how I want them, but have to do it for each user, which gets a bit repetitive.
It would be much easier if we could ‘New, Edit, Duplicate & Edit’ as I probably only have to change one thing - e.g the search field and leave all other settings as is and give it a new name.
Just a thought - don’t know whether it is easy to implement or not, but it would sure as hell make my life a lot easier !

Hello, I really like what I have seen but was wondering if there will be support for POP/SMTP.
I have looked at a competitor and see that they support that but they are missing some of the items that I see here.
I do not have ldap and imap presently available. Is it possible to have pop/smtp support for the email client.
Does the webui for email download the email or is it just reading imap and or the ldap informaiton.
I have been experimenting with 5.0.4 and look forward to the 5.1.x version.

I founded that also vtiger 5.1 is missing in quotes, orders and invoices the typical dealers needings:
1) discount for dealers-resellers
2) rise of price for dealer
the application of them first of taxes and discount, and the not publishing of them in pdf version, will help dealers to do them work fine.
I think also this can give easily them earnings, to put on reports.
They are to calculate first of discount and taxes, and like them they are optional and have:
DEALER DISCOUNT:
- Zero Discount Dealer - Rise price for Dealer
- % of Price of discount for Dealer
- Direct Price Reduction for Dealer
RISE PRICE FOR DEALER:
- Zero Rise for Dealer
- % of rise Price for Dealer
- Direct rise Price for Dealer

One more request I have is to make it so the Reports and the Products and the PriceBooks can all be assigned to users just the same as accounts or leads.
We have many products that we would like to have several people managing but we don’t want them to be seen by everyone in our organization. It would be ideal to have products assigned to users for a variety of reasons.
Reports are a very big part of the crm system for everyone and a big weakness with vtiger is that if you allow a user to see the reports then they can change or delete them or create a bunch of reports that clutter up the system for other users.
If we could assign the report create/edit, view, delete options in the users profiles just like the other modules and also have the ability to create our own reports that others can’t change, then I think that would really make vtiger’s reporting features much better for everyone.

About feature #7 “Make all fields sortable in ListView”. Great feature, but could this be taken even further when it comes to custom views (Filters)? We would like to sort our invoices primarily by “Modified Time” in descending order (latest modification on top) and secondarily by “Assigned To” field, in ascending order.
In custom view editor, there could be a third tab next to “Advanced Filters” labeled “Sorting”, containing a list of possible fields relevant to that entity. For every field in this list, there would be a drop down next to the field label with options “Undefined Order”, “Ascending Order” and “Descending Order”. One could then setup a custom view to sort in a specified way, when the listview is opened.
In SQL, this goes “… ORDER BY x ASC, y DESC, z ASC, …”.
I think this would be a good feature, especially when combined with “Set as Default” setting for a custom view (Click “Invoices”, and you get your custom view with preferred sorting order).

On my vTiger 5.0.4, I’ve added somme minor feature that are very usefull (for me). I’ve done some change to have :
- Product name updatable in Quotes, SO, Invoices
- Automatically add the product description when selected in Quotes, SO, Invoices
- A link to generate PDF directly in Listview
- Invoice number with date element (Year, Month, Day)
So, if you are interested, I can send you the modification applyed to my vTiger 5.0.4 for each functionnality.

Few more things:
1. Role based Picklist are great, but should have an option, whereby if we create a picklist and want it to be same for all roles, i should not have to create again and again [pls tell me if there’s already a way]
Similarly, hiding/displaying the fields for all roles should be an option.
2. Default folders to be removed from Reports, for the modules that we don’t have permission to access.
3. Can we set permissions for individual reports, like some reports are confidential and should be shown only to specific roles.
4. Form Generator [like Sugar], which make its lot easier for users to implement. This way users can even select the modules, fields as per their need. My Online lead generation form is not working since last one month, some fsocket [in php] is no enabled on the shared server. Can we make it sth simple that doesn’t require changes in standard isp settings. Maybe even using the web services client library.
5. Lastly the whole world is going towards Social CRM, i think we also need to start thinking about this.
Don’t know how many cents, but its okay lah keep up the good work

how about having the ability to create reports based on your own sql query, this would allow far greater report creation.
reports could be developed with an application like navicat for example, then the query could be run directly from within vtiger.
this would allow people to create reports with far greater detail than presently available.
love the idea about report permissions, that would be a great feature
the new module manager in 5.1 looks great, nothing happens when i click on the hammer beside any module, will there be the ability to rename any module or just to remove it.

You think create a function to group some sales orders not paid of one client in ONLY one invoice?
This function must work in Invoice module (new invoice), and, when select the account, if press (i.e.) one button “Group Sales Orders”, show a new window with pending sales orders with description , total ammount and date of bill. Then, select some of this sales orders, and add products, qt. and discount to the “grouped” invoice ….

The new 5.1 System is looking awesome. I especially like the new feature allowing us to disable bits of the system that we may not use

On a separate token, one thing that bugging my customers is the date (being in an american layout) and I cannot change this as a system wide setting? Also the resetting of passwords for customer for the customer portal. Or being able to define a password for the customer.
One other thing (and please dont all jump on me, we have not long ago started using vTiger above a lot of others) in a ticket its currently a little confusing to have “Notes” and then a very small box under the original Question labelled “Solution”.
Would it not be better to have just the one? Then perhaps admin side (or at least support side) to have a check box appear in each note left. All you hve to do is check it as being a key note that a customer should pay attention to or to draw them to the solution.
On the same token, it would be cool if there was another checkbox (support worker wise) that when checked hides the note box fromt he customers view. This is in an aim to be a note for the company as apposed to the customer.

Getting better every time. But I’m still waiting for two little features:
1. Simple Forecasting by taking probability-percentages into account would be nice (and really simple. Mutiply Amount by Probability and offer in Dashboards/Reports)
2. “Project” Management (not what different solutions offers, that’s no project management). Very simple, like the Case management in SugarCRM. Have a Case (Project), SubProjects and Tasks, done. And if you have a really good day, add gantt charts and reporting.

I think the sales order module and invoice need a modify on the product details list. It’s should show the the model number (part number) before the product name. In my case, I have many products have the same name or similar name but with different model number. Though the product name is same, with different model, the product have big difference from each other. At present, when these products listed one behind another, it difficult to distinguish them!
I think it’s not only my problem?
Awesome job! I love the new features. I’m particularly fond of the layout editor which would have been useful when I first began testing this product for a client. I’m not very well versed in databases and spent a considerable amount of time learning in order to achieve what the layout editor will accomplish in a matter of seconds. The recycle bin is a nice feature as well for those of us who are too quick to click sometimes. It all looks great and I’m anxiously awaiting the new release. One thing I noticed is that one still cannot edit the picklist values for custom fields-only the label. This is an issue with my current version that I hope will be fixed in the new release. Keep up the great work!

I am not sure if I got your problem. Are you trying to edit the picklist values for a custom field? If so, you can do this through the Picklist Editor and not through the Custom Fields section from where you created the picklist. This was added to make sure the Role-based picklist concept is maintained properly. Please let me know if you are looking for something else.

I’m still not seeing any new enhancements to the reporting features. I heard the next release was going to include new ways to generate relationships between modules. For example, there is no way to generate a report based on products and invoices (e.g. to track monthly revenue by a specific product type or GL account).
I have several users that act as independent entities and it would be nice to track/report their monthly revenue in a few different ways: (a) by total monthly revenue per individual, (b) breakdown of monthly revenue by product/sevice type per individual entity, (c) breakdown of monthly revenue by taxable and non-taxable goods per individual entity, etc.
Also, I think a nice feature would be to allow quote/invoice PDF generation to show the address of the current user that is logged in. I have sevel user at different locations and it would be nice if the invoices auto-populated the correct mailing information relative to the user generating the invoices.. if that makes sense.

For your report, I pretty sure that you will be better to do this with some BI integration like Pentaho. Report have it’s limite, BI is much more powerfull.

As for the tax on tax feature, we’ve done it for an italian client of ours a couple of weeks ago (it seems to work fine, and I remember of a long thread on the forum about it being required from some Canadian user).

I think this is great. The only issue I have is that my company creates all tickets invoice etc. to the account and I would like to see that the customer portal have a login for the account and show all contacts and other documents for the account not the contact.

We do not recommend you do use this source into production right away, as the features are still under development and some of the feature’s design are also getting revamped. If you setup the source on production today, you will not be able to migrate to the released 5.1 version later. Please think over it before you use it on production server.

One big missing feature in your CRM is something to track phonecall and all communication that are done by the post. When I send a letter to a customer, I want to keep trace of it (date send, joint the Word files, etc.) So when the customer will call me back, I will know what he is talking about.
For phonecall, same thing, to be able to create a phonecall, entering date, time, description of what we have talk, reminder to call back the guy at date X. Or to send a immediate call back reminder to an other vendor in the company and write down the message.
Those are basic feature for a CRM, and it’s looks like nothing in this way have been done so far.

I agree with Bill Deng, we too think the sales order module and invoice need a modification on the product details list. It should show the part number together with the product name. We have many products with the same name but different options, with different part number. The product name is very similar, it is difficult to distinguish them without the part number.

i would like ti suggest a number which join this 3 points that you can follow up on a offer to the order and to the invoice.

My biggest request is the ability to assign reports, products, and pricebooks to users.
Right now we have to allow our users to create, veiw, edit, delete all or nothing when it comes to reports, products, and pricebooks.
This creates major problems and limitations when we have several users managing different products or parts of the business.
I would love to see 5.1 include the ability to assign reports, products, and pricebooks to users or groups with profile permissions to create, view, edit, delete, just the same way it is done with other parts of vtiger.
Looking forward to the new release. Is there any updates of a firm date yet?

Thanks for your comments/support and feature request. We are trying our best to get closer to 5.1 release. Some important features are still under development. Only after completing these we can commit on the release dates. Our next wip update is very soon and we are hoping to get many more comments on the new features that we will be rolled out in next wip update. Your feedback is VERY important for us.

I would like to report a problem:
“Export to Excel” on Reports module destroys UTF-8 encoding. All special characters are shown as one byte question marks after export. It is a problem with 5.0.4 as well.
Also, I wish to have an “Export to CSV” option as,
1. Excel is not compatible with UTF-8
2. It is much more easier to manipulate encoding in a csv file

I’ve been looking the 5.1 demo dont see some features that are importante for our type of business, like:
- Service Agreement Module (Contracts) where we can specify the SLA, Assets, Costs, Conditions;
- Time management on Tickets. We should be able to indicate time spent on each activity, time to discount on contract, time to bill;
- Respond to contacts, relating to tickets directly from the ticket;
Are you considering on doing this in future relases?

Great work with 5.1 - I just tested the demo. One question though. The documents are fabulous, but is there a way to link them to a calender event, contact and E-mail? This seems to be a neat feature for a paperless office

In the Calender-View (All Events and Todos) I am desperately missing the “Account” Name.
It’s possible to show the Contact, but the uniqe mind-trigger is normally the company.
The “related to” does not help, if you have e.g. many potential related activities and the potentials are simply named by service types (”consulting”) or products (”Vacuum cleaner”). If you see the list of todos, all related to “consulting”, you cannot really see what’s going on and decide where to go.

The Documents module is undergoing some design changes,we will be updating the community soon regarding this.Right now you can relate Documents to contact’s as well as add a file as an attachments to Emails and about documents linking to activities, we have made a note of that.

vTiger 5.1 is great and really becoming a robust application.
One question: I just noticed that in Calendar, user select view option, when a user is selected and has more than 20 activities (more than 1 page) when scrolling to the second page it returns and shows your activities again.
In the demo for instance i created more than 20 events for standard user. When i log on with admin and select standard user in calendar and scroll to the second page, it gets back again to admin’s events for the period selected.

vTiger 5.1 is starting to look like a really good business application. CYBERAUTHORIZE is using the Web Services API to create an update to our vTiger payment module. Like our current product, the next release will allow merchants to accept all major credit cards and electronic checks and assign the payment transaction to an account, contact or invoice record. Merchants may void or refund a transaction. In addition, the next release will support recurring billing.
We’re currently working on having a credit card payment processed based on a recurring vTiger invoice. Once the transaction is processed the recurring invoice will be marked as paid.
We will release our updated payment module within 30-days of the official 5.1 release.

We do not have any plans to allow the customer’s to update their profile from Customer portal.
@Au,
Vtiger CRM and the plugin Customer portal can be used on Linux without any problem. Irrespective of where your Vtiger CRM resides, you can install customer portal on any of the server/machine (windows/linux) and just make sure you can connect to the Vtiger CRM server from your customer portal. Let me know if you need any more information.

Service Industries Quotes etc
I see many people loosely refer to this requirement.
For a service industry quote etc; I guess it is best summed up with the formula:
quantity*perUnit*cost*margin = price
for consultant,
1 (person) * 6 (days) * $100 * 200% (markup) = $1200
the same applies to many service industries.
In future development Will the additional multiplier field of “perUnit” be added or is it available now somehow? Also for a particular “service” line entry, the Stock level would not be relevant.
