In this update we are pleased to release two major features,

  1. Workflow Module [Workflow Module.pdf].
  2. Asterisk Integration [Asterisk Integration].

Workflow Module

Workflow module allows administrators to trigger actions when certain conditions are met. The following three types of workflow actions are supported,

  • Create ToDo  (Calendar Activity)
  • Send Email
  • Invoke Function

Administrators can create new workflows and modify the default workflows bundled with vtiger CRM. Default workflows include,

  • Inventory update when a Invoice is created (this workflow relies on ‘Invoke Function’ action). Administrators now have a choice to trigger the Inventory Update action, when Invoice is saved.

Asterisk Integration

vtiger 5.1 will enable easy integration with Asterisk servers. This integration will benefit customers using Asterisk based IPBX platforms by providing the following capabilities in the CRM,

  1. CRM pop-up alert with Contact details when a call comes in.
  2. Click-to-Call function.
  3. Incoming calls and Outgoing calls matched to a Contact will be filed in the Activity history for the Contact.
  4. Call History log shows all Incoming and Outgoing Calls.

Minor enhancements included in this update :

  1. Unique ID generation for all modules (similar to Invoice No) [Unique Module Numbering.pdf].
  2. Record Change Indicator [Record Change Indicator].
  3. Feedback and News link for Administrators.

Note: TCPDF upgraded to version 4.3.005 (We have upgraded tcpdf library but still not able to get support for lot of languages like Chinese, Japanese etc. Would be great if community members help us out in getting support for all languages.).

    wow! I like what you have done so far but I also would like to propose another enhancement. More and more ISPs, at least here in Europe, are starting to implement some sort of spam protection. They block users from sending hundreds or thousands of emails at once. Some respond with a warning, some transmit only a few emails and stop if the buffer is full or some do nothing.
    This is not a good situation if you use the CRM for instance to send Newsletter to a large amount of people. What is needed is the possibility to delay outgoing mails.
    Perhaps you could add to the mailserver settings a function that allows to set parameter for outgoing mails such as: send 5 (or 10 or 20 or 30 …make it seletable) and than wait 1 minute (or 2 or 5 or …make it seletable) before you send the next emails.

    Thanks for your suggestions. With workflow we are one step ahead, wherein for each task of a workflow we allow you to configure whether the task can be performed after some delay.

    But with mass emails, we haven’t still taken up this. We shall surely keep this in mind and come up with a solution soon.

    Hey guys,

    Thanks for the reply about linking the documents to contacts, events and so forth. You said that there is the option to link it to a contact already. However, I could only associate the file with a user (i.e. admin) - maybe I am just doing it wrong.
    Also, I had a little bug in 5.0.4 - I am tagging my leads, but when I convert them to contacts, the tag is gone. Same thing seems to happen in 5.1 - I tagged someone test111, converted the person and the tag was gone. It was still in the tag cloud though and when I clicked on it showed no results in the search page.
    Other than that - really great work.

    We respect your suggestion. During Vtiger 5.1.0 development phase, we have already upgraded TCPDF twice - once to 3.x and now to 4.0.x. We still haven’t really seen much benefits. We would really like to get some feedback from community on how better can we make use of the upgraded TCPDF. If things get better and time prevails, we shall surely upgrade to latest version.

    Asha, the TCPDF guys are issuing new releases frequently. I agree with you that it is impossible to use always the latest release. I my opinion this is also not necessary because vtiger uses only a fraction of the code. However, there are benefits in each release which might be important. For instance, the latest TCPDF version has fixed some fonts related problems (and I do think - but did not check it - that now Chineese and simelar character sets are supported). While working on the PDF Configurator (http://forums.vtiger.com/viewtopic.php?t=21274) I also discovered that the latest release got out of trouble with some font licensing issues.

    Asha, I can not confirm the support of Chineese/Japanese since I do not speak these languages. My “wisdom” comes from http://www.tecnick.com/public/code/cp_dpage.php?aiocp_dp=tcpdf_fonts
    There is explained how these character sets are getting activated.
    I do not see any needs to upgrade your 5.1 SVN TCPDF version to 4.4.006 besides that the PDF Configurator already uses this new version.

    Hi Love the new software, will it be possible to rename the menu items easily in the module manager? for example, rename accounts to customers?

    will you be making any changes to the web forms? we would love it if they now contain the address details for leads, i have been trying without luck for weeks to try to change the code to collect this information using the webforms for 5.04, my programming skills are very weak.

    i would just like to say that i am really pleased to be using the software to run my business and look forward to the new version,

    just one other point, will there be an easy upgrade path from 5.04 - 5.1?

    I would like to highlight what Balduin said about the ISP mass email blocking. I had a gallery opening and had to send out invites to 2500 guest. I tried it with my contacts in vtiger but after not getting any replies, I started to wonder what was going on. I check my logs and found that my host was blocking me (hosted in the US) my ISP here in Canada does not block so I ended up using them directly.

    This feature would be great for me.

    Yesterday I installed vtiger. I have downloaded the windows zip, and setup installed apache, MySQL and vtiger. After installation vtiger works ok, however I restart my computer and after that there is problem with database. Vtiger doesn’t can’t connect with MySQL and the error shows:

    At the new recycle bin restore feature you find the follwoing explanations to color codes (green, red, blue):

    * Has to be restored manually before restoring the record
    * Already exist in the CRM
    * Will be automatically restored when the record is restored.

    Could someone explain in more detail what you mean with each of these conditions and what I must do to get an item in the recycle bin to which such conditions apply?

    Hi Balduin,

    Right now, there are few bugs with Recyclebin as we are in the middle of some changes to make the feature generic and working with newly created modules. So you may not get the exact case working. But let me still try and explain you the cases:-

    1) Has to be restored manually before restoring the record
    -> This applies when you are trying to restore some records which have some parent records on which they depend. Both parent and the current record where deleted (eg. Both an Account and its Potential were deleted). Now when you try to restore a Potential, Account Name will will marked to highlight that we need to restore the Account manually before you restore the Potential.

    2) Already exist in the CRM
    -> This applies for the same case as I mentioned above, but when the Account is already restored or was never deleted. So it basically means that Account already exists in the CRM and you can restore the Potential without harm and the relationship is still maintained.

    3) Will be automatically restored when the record is restored
    -> This is a reverse case, wherein you are trying to restore a parent account which has related child accounts. For eg: When Account is restored, Potential will be automatically restored.

    Hope this gives you a clear image of what the 3 indications mean.

    To install the PBXManager module, you have to execute the file CreatePBXManagerModule.php present in the root folder of vtiger (for e.g. localhost/vtiger/CreatePBXManagerModule.php).

    This will create the PBX manager module for you under tools.

    some comments with regards to the automatically generated emails when a purchase order or trouble ticket is created when using 5.0.4. Hope you are making some changes to it in 5.1:

    Hard coding such logic in the program is not a good idea, better allow admin the capability to manually set it up, so that such function can be turned on or off based on the different circumstances.

    okay lets do this release, but please promise to have more frequent releases. This is way too much testing patience of thousands of vtiger lovers!!

    There are tons of features you have already tested, why not just release it, rather than waiting for another few tons to get stablised?? Will it not be good to make us all happy with few features and bug fixes and then keep working on new things.

    We have reached this far with each release of the code and not hoping to have developed 100% working with million features in version 1.0. Things grow with each release, its simple!!

    I can bet most of us are not really installing the updated builds and testing as we are still waiting for final one, we just view wip somewhat and give comments. With frequent release, we all will help you even more with REAL testing and things will move even faster!!

    Writing all this is no way criticising the great work vtiger guys have been doing, I just want you guys to be bit more lovable. Take advantage of crowdsourcing and grow faster.

    Providing frequent updates of the new feature was the new idea that we found very useful in keeping our community informed about the development.

    Couple of issues have been caught with the new features that has been developed, we need to make sure to fix them before heading out for the release.

    With frequent release, we all will help you even more with REAL testing and things will move even faster!!

    Dear Prasad,

    I’m sorry if you felt I’m asking for hurried release, that was never the intention. What I was saying is that the scope of the development for each release, you can prioritise features and do intensive testing and only release when fully satisfied, but make sure we have a new release every 3-4 months. Thats it!!

    Updating community with new features is great idea but its like teasing them that we have great stuff for you but you cannot enjoy it for at least next few quarters, if lucky.

    I’m sure everyone will be happy if we only do a small set of priority features and release early.

    Lastly, I think you guys need to have always updated roadmap, and get community to vote for features, which they want to see on priority. I’m sure lot of features which you guys are showing with each release are surprise to many. There is no visibility on what is coming next [at least to guys like me who don’t look in svn regularly].

    Once again, don’t take any of this in negative way, You guys are doing great work, just need a bit of better organising!!

    I agree with Deep. It would be great if we had a poll or a way of getting feedback from the community on what features are most important to add. Then you can focus on the 1 or 2 features that would be of greatest benefit to the masses with each realease.
    The releases could be more frequent and more powerful and stable, rather than trying to pack a ton of new features in before doing a release.

    I think the things you have done in 5.1 up to this point are fantastic and that if you just focused on getting it stable, then you could release it soon and then work on adding more features and bugfixes in future releases after getting more feedback from the community as to what features are of most importance to add.

    That’s my 2 cents.

    I am able to get support for Chinese characters through PDF generator(Vtiger 5.04) with no problem.
    There are some PL Traditional Chinese Font on web.
    The Salesorder PDF with 7.x mb or 3.2 mb, depende
    what font use. tcpdf version not the problem.

    if you work with MS windows. the one come with vTigerCRM 5.04, work too.
    use the ttf2ufm.exe

    $ ttf2ufm.exe -a -F fireflysung.ttf

    2. upload fireflysung.ufm, fireflysung.afm, fireflysung.tla
    to /vtigercrm/include/tcpdf/fonts/ttf2ufm

    3. run:

    cd /vtigercrm/include/tcpdf/fonts/ttf2ufm

    php -q makefontuni.php fireflysung.ttf fireflysung.ufm

    4. copy fireflysung.php, fireflysung.z and fireflysung.ctg.z to /vtigercrm/include/tcpdf/fonts/

    5. Modify tcpdf.php line 1745:(maybe line 1749 too).

    $family='freeserif';
    to
    $family='fireflysung';

    Done.

    Fix Graph:
    1 upload fireflysung.ttf to /vtigercrm/Image/Canvas/Fonts/
    2. Edit fontmap.txt insert 1 line:
    fireflysung,fireflysung.ttf
    save.

    I use fireflysung font right now.
    Tested some other font, look ugly…but worked.

    Looks pretty good for pre-release. I set it up about an hour ago from svn and I have a few bugs/needed-features I have found. I am sure you are aware of them, but I can’t find a forum thread or bug-tracker for 5.1. So, if this is the wrong place, please forgive… just want to help make this even better.

    1. Menus in default theme not working as expected in firefox3 on Ubuntu8.04ltsAMD64, hover drops down, but when you move off of main link the drop down goes away. You have to go to main sections and use row of text links.

    Mailscanner:

    2. bug/feature, Simple to setup rules, but from a helpdesk standpoint they are not much use. I have managed to get a ticket to be created, and one time I managed to get it updated by replying to the ticket… but I can’t reproduce it now. A log of scan actions would be helpful, but probably only for testing. I have tried a variety of rules and orders, just can’t reproduce it!

    3. bug, Mails picked up by the mail scanner lose their ‘from’ address unless it matches a contact. So, if I create a ticket from an unknown (not matched in contacts) email address, there is no way I can see to identify the sender, other than going to the mail folder and matching the subject.

    4. feature, tickets created from mailscanner should have option to notify sender of receipt/creation by default.

    5. feature, replies to tickets send as the user, an option to send as the mailscanner incoming mail address would be helpful. Then customers can reply to the email and it will get picked up and update the ticket.

    6. feature, ‘raw message’ link or table for the entire text content of an email.

    7. feature, notification of mailscanner created tickets (maybe handled in another workflow).

    8. feature, anyway to import a webmail message into a ticket. This feature alone would certainly push me over the edge for mothballing my aging helpdesk. Simply import an email, apply/verify the contact of sender and update+verify an existing ticket by associating manually (box to type associated ticket ID#) or automatically from presence of “[ Ticket ID :” or something simple. From experience, parsing based on header vs subject usually results in lots of dupes, particularly with all the smarthosts, spamfilters and virus scanners making their own header modifications. I think most will be willing to click a couple more boxes for the time being to ensure accuracy.

    I am very glad to see the progress vTiger has been making. I use to run it about 4y ago, but we went from multiple techs to a single tech, and it be came simpler to maintain this info in outlook/thunderbird. I have grown again to the point of needing the collaboration, and am pleased to see the improvements.

    I began using Vtiger there is a few months. For this new year, it would be nice to have a forum dedicated to 5.1 version and why not a first beta version package.
    For the vtiger team : Continue your good job, we all appreciate it. In the futur as soon as my english will improve, i will give you my own feedback (not always easy when we speak french to give a fine feedback).
    A wish : a better integration between vtiger and outlook, office, openoffice etc. products… I would like to have setup to choose what i want or no to synchronize between differents products.

    Just downloaded the current source. It looks nice but the Asterisk option listed above does not show. PBXManger is not available under custom modules. Any ideas?

    Hi Scott,

    To install the PBXManager module, you need to execute the file CreatePBXManagerModule.php present in the root folder of vtiger (for e.g. localhost/vtiger/CreatePBXManagerModule.php).

    This will create the PBX manager module for you under the tools menu.

    Hello, i noticed that in svn version of vtiger, when you try to add more then 3 products to one invoice then you cant just add more, and with older svn version, it even corrupted user, so that user coudlnot add products to invoices anymore.

    Hi Prasad,

    I installed 5.1.0 via svn last night, everything worked fine, installed easily, everything seems good, until I noticed the version number on all the pages is 5.0.4. I’m also looking around the installation and I don’t have the Module Manager and a few other things. When I do svn update it says I’m on revision 12290, which is consistent. Any ideas as to what I’ve got going on here?

    I found a bug in new versión (5.1), in Quotes, Salesorders, Invoices and purchase orders… (in all, the same)

    In Quotes, i.e., if you change the stage from Created, to Delivered, and after, to Rejected, the Quote Stage in Quote Stage History, in all stage, show the last stage (in this case, Rejected)

    create a contact and mark him as a portal user, an email will be sent to that contact’s emailid listing the login details. you can use these details to login to the portal.

    Just took a quick glans at the Portal and I miss the Sales Order tab… We don’t quote our customers and we don’t use vtiger to send out Invoices, but we do send out Sales Orders through vtiger. Are there any plans to ad a Sales Order tab? Shouldn’t be to hard.

    Also are there any plans for a role based security system for the portal users too? It would be convenient if the you could assign some portal user to be allowed to update the information on the portal, say if the account/company moves, if somebody was to be added as a Contact etc. It could also be nice to be able to hide certain fields from the porstal user. It would also be nice if the customer could place an order directly at the portal (with the prices taken from the price book assigned to that Account).

    Great job but I can see one major issue with the customer portal.

    The customer portal now show custom fields (for example custom fields added to Contact will be shown for customer to see).

    Custom fields may have information that you do not want to the customer to see, but is needed to record information. I think this can be a big issue. Could you include some way to indicate a field is hidden in the customer portal but still usable by normal users ?

    An example would be a field that warns you about a troublesome or difficult contact, you wouldn’t want the customer to see this but your staff would need to see it!

    Hi amouna,

    Are you running the asterisk client when trying to make a call? Is it connecting to the asterisk server successfully? Can you provide some more information like the asterisk configuration that you have and if the asterisk user is a valid administrator for asterisk or not?

    This will help us to debug better.

    I just thought of something that would really make the workflow feature a lot more powerful for many situations in various sales processes.

    Right now, the Tasks that you can do for workflows are:
    “Send Email”, “Custom Function”, “Create Todo” and “Create Event”.

    What is missing and would really improve things if it was added is an “Update Field” task.

    Basically a task that lets you select a field within one of your modules to update.

    That way you could create tasks for the workflow that would update the fields you needed to without having to go through the hassle and time of creating a “Custom Function” to do the updating of fields.

    Anyways, that would be awesome to add that as a task and would really complete the workflow in my mind.

    An example of where this would be really nice is in keeping track of where your leads are at in the Sales Process. You could have a custom field called “Sales Stage” and when a new lead comes in, they would be marked as “New Lead”.

    Then you could have a work flow that sends a “Welcome” email to everyone marked as a “New Lead” and if there was a “UPDATE FIELD” task in the work flows, you could create a task that would automatically change the Sales Stage field to “Welcomed” or whatever your next step is in the sales process for that Lead.

    I too was thinking sth similar, when we had the requirement of having Service Contracts Expired on their own, when the due date reaches. There can be lot of Use Cases for this requirement.
