This build is intended for seeking feedback from community members to identify any issues that needs to be addressed before RC/Final release.
Please do not use the 5.1 validation build on your production server.

Hi All
i logged into the vtiger demo as admin and changed the date format from yyyy/mm/dd to dd/mm/yyy then created a contact and asigned myself to an account, i created a sales order and filled in the recuring feilds, saved the sales order but no start and end date information is saved, if you repeat this process with the yyy/mm/dd format it works.
this was the same in the first validation build, will it be recified before the final release as this will be great for UK based companies

you added invoices to contacts; that’s a very good step towards B2C!!! I’M really very happy to see that.

Still two problems:
1. The invoice itself sill requires an account as mandatory (error message: Account Name cannot be none) - Solution: contact OR! account should be mandatory
2. If there is only a contact, please take the address information from the contact

You can configure mandatory fields for a module now using:
Settings > Module Manager > Module Settings > Layout Editor

Last problem:

let me update real quick - just as an info for you:
I had chosen the “Add Invoice” button within the “contact information” and from there the address information is not taken over automatically.
But if I reselect the same contact again, it is taken over…
that’s it from my side.

I I tested this validation build2 for integration vtiger with asterisk but the issues remain the same (no pop-ups for outgoing call or the incoming call) .

Installed and tested the new version, definitely very promising. I love the new start screen and duplicate finder and other bits and bobs.
But….. It seems significantly slower than vtiger 5.0.4 using the same data/server. (I’ve copied our existing 5.0.4 database and used that with 5.1).
I hope it gets as faster to access once everything is finalised and released

This feature is not available in 5.1.0, you will need to customize it.

There is just one issue that is really bugging me - speed. Version 5.1 seems a lot slower than version 5.04. When there are dozens of users working with CRM it quickly becomes a problem. Is there anything we can do about speeding it up? Are there any performance improvments planned before the final release?

My calendar is all messed up. In the month view I have 7 days but they are labeled wrong in some months.
For example April 2009 has: Sat, Sun, Mon, Wed, Thurs, Fri, Sat.
May 2009 has: Sat, Sun, Mon, Tue, Wed, Fri, Sat.
The dates are all right just the field labels are our of wack.

We are interested in having multiple company support.
We mainly need to be able to have different company data on the invoices, quotes, and other pdf documents or emails.
We can manage what the users have access to by changing the roles and profiles in vtiger, but we need each role to be assigned to a “Company” or “Branch” or something that lets us customize the information that shows up on the invoices, etc.
Example: We have different sales teams in several states and countries that have different billing offices for where their clients are supposed to send their payments to.
Right now, the invoices generated with vtiger all have to have the same company address and logo. We need to be able to have different addresses and logos depending on what “Company” the sales rep belongs to so their clients send their payments to the correct billing office for that sales team.
Also, we are wondering if it would speed things up, if we have several thousand users entering data into vtiger. If they are all going off the same set of database tables, it seems like the database can get filled up really quickly. Especially the crmentity table in vtiger that everything goes off of.
There are several opensource programs out there written in php, that allow multiple companies. One is called FrontAccounting. They let you choose the company on the login screen similar to how we choose a language with vtiger right now.
All the companies operate off the same set of files, but in the database config file it specifies the database and table prefix to work off of for that user that is logged in. Each new company has its own set of database tables so to set up a new company all you have to do is run a sql file that sets up the new database tables for that company.
That way managing the files or making upgrades and changes are easier because you only have to update one set of files to change things for all the companies, but each company has the flexibility to have it’s own data in it’s own set of database tables.
This would also make things easier to integrate with accounting programs such as quickbooks or FrontAccounting, that already offer multiple companies to be set up with one insallation.
Anyways, I think it would really make vtiger much more powerful and flexible to do things this way.
Check out the opensource program called FrontAccounting to see how they handle setting up multiple companies. I think it wouldn’t be too hard to get that type of functionality with vtiger and would definitely make things better.

I do not agree to 3: I would make it the contact address.
In our experience, the contact who receives the goods has to internally acknowledge the invoice before the purchasing department will pay it. So things are speeded up if the invoice goes to the contact, not to the account addresss.

Have to thank you very much for crm. This tool is very usefull, but only one thing seems to be problematic. This is rather than crm problem the groupware problem. Our team is not able to plan meetings together because of (well)-arranged calendar. Will be very helpfull to see all activities of users. I mean his/her activities (Assigned To) and activities where are they invited as well.

Open Calendar, next to it are two small icons. the second one is settings.
Click on it and share the calendar and select all the users to share the calendar with.
Ask each of your user of CRm to do is on their calendars and bam…you should all be able to see each others calendar events…

What you have here is just a wonderful piece of software. It helps SMBs to use CRMs rather than going in for highly priced and so called open source CRMs.
Anyways I was happy to see that v5.1.0 build 2 was released on 22nd April. Now I would appreciate if you could give me a timeline or atleast a very approximate ETA on final release of v5.1 because there are so many features we want that will be built into v5.1. This would save me and my company some time from going through the code and customizing when this is all built in like
-Trouble Tickets appearing in calendar as per the Due Date specified.
-Color coding of calendar events
-Color coding of trouble tickets if they have not been closed by the due date.
-Custom Field Formulas
For the time being I’m going to implement the enhanced calendar so that our trouble tickets appear in the calendar. But I would like to know from you guys how should I get a custom TIME field. I have created a custom date field in trouble tickets but unable to see a TIME field. Any suggestions ?
Lastly, my request for v5.1 is in lines with what has been suggested in the above post on 27th April by bruzergear. I just want each account to allow multiple addresses to be entered. In my personal opinion I’m not sure if I want multiple companies on a single CRM installation because I’m not sure how the CRM will react when it comes to severe and complex customization for each company using that single instance of the CRM. Maybe I’m just being me, apprehensive about this becoming a huge complicated scenario ending up in a huge disaster.
Anyhow, I would really appreciate if you guys can reply to my post.

if 5.1 could have a module created to pass invoice, P/orders, quotes and customer and account information into xero it would make this a truley fantasic crm application, xero can be found here www.xero.com.
xero has a detailed api structure on there site, i would do this but i know nothing about coding an would gladly pay for that module.
what a fantasic crm system this is, i was in london this week at the internet world expo and nothing i saw there came close.

One solution that may work to solve the problem of needing multiple company addresses is to have a way to create multiple addresses for the company and then have a drop down select menu in the user profile area that will let you assign a company address to each user.
Then when that user creates an invoice or quote, etc, then the system will use the address assigned to the user for the invoice or quote PDF that is created by the user.

With that approach it should solve the problem and keep things simple in the database.
Basically from my understanding, to carry out Wolf’s idea would be to just add a table to the database for Company Contact Details (Name, Address, Phone, Email, Etc.)
Then in the company settings area have the ability to add/edit the company contact details.
With a drop down menu field in the User profile, you could assign a user to one of the company contacts.
You could also make it so vivek has his problem solved in the post above, by adding a field to the Accounts area that allows you to select the company contact address to use for that account.
That field in the Accounts area would default to the address that is assigned to the user that created the account, but could also be changed to the Main company contact details, in case a user wants to have some of their accounts see pdf documents with the Main Company contact info instead of their default company contact address.
This would be awesome if vtiger could get this functionality in 5.1 I don’t think it would be too hard to do and would definitely make the PDF’s much better for companies with multiple addresses used for billing, quotes, etc.
I have seen other posts in the forum where people tried to modify the language files and other things to try to get this functionality, so I know that it is not just me and vivek needing this.

I really like the new home page for 5.1 and the ability to add module boxes there.
However, I also really like the Key Metrics feature in 5.0.4
I couldn’t find the key metrics in the 5.1 demo.
Did you take out Key Metrics box in 5.1?
I noticed that in the add/edit filters area you still have a checkbox labled “List in Metrics” but I couldn’t find where my filter was listed in a key metrics box.
Anyways, I really hope you didn’t get rid of the key metrics feature because it is so nice to have all our favorite filters for all the modules in an easy to access box in one area on the homepage.

thanks for response. I know this function, but still have got problem with this:
example: someone invite me to meeting but another user (if wants to invite me at same time to second meeting) must open each meeting at particular time to find out, if I wasn’t invited yet.
Maybe it is solved in new version…
And one tip for meetings. 90% of all meetings are at billing/shiping account address, so it would be beautiful to fill automatically meeting Location field by one click.

My question is about sharing calendar. When logged as admin I can share the admin’s calendar with the standarduser, but when logged as standarduser I cannot share my calendar to the admin user.
Does this have something to do with the user’s profile?
How can this be addressed?
This is important for people working in a call center. In a call center there’s an agent user with agent profile, but also, there’s an supervisor user with supervisor profile. The supervisor needs to know (all the time) the appointments made by an agent to a contact. At the moment I understand this configuration cannot be done, please, correct me if I’m wrong.

I am glad to see the discussions on multiple company support. We have a situation very similar to that of bruzergear. It would be great to find a solution that does not add too much complexity to the system.
The solution suggested by Wolf seems to be in the right direction. However, it does not address one critical function: separation of accounting. E.g. invoices must (in my country) be issued in unbroken number series for each company.
Our wish could be summarized as:
* Sharing all CRM database info with separation through the standard roles and permissions mechanisms
* Support for multiple company locations (addresses)
* Separation of accounting data through different number series on invoices, and perhaps also other entitites.

Awesome work on 5.1. I’ve been playing with it all evening. Just a few comments on things that I have tested and found some issues with: Asterisk integration needs to be a little more user friendly. We are using FreePBX and the PBXManager module does not play well with the FreePBX configuration although I was able to get it working for outbound calls. Inbound still not working but I will continue to work on it. Way too much script tweaking for the casual user to get it working right. Especially with the hard coded SIP, PSTN tags and contexts. Seems like the AsteriskClient.php script requires the PSTN or SIP tag.. if it doesnt see the tag (specifically the “:”) the number gets chopped and does not dial properly. Also had to tweak the script to insert a 9 before any PSTN calls. Its a very good start to integration, but needs to be more configurable as there are tons of different Asterisk configurations out there.
In Products - it would be very helpful if there was a way to incorporate “location” or “bin” quantities. Example: We have 5 technicians that each keep stock of items on their trucks. It would be helpful to have a location code for each truck to keep track of quantities on those trucks. When I invoice a client for a part, and I need to invoice a part used from a truck, I would then like to select what truck the item came from and have quanities adjust automatically. I can do some of this with custom fields, but the problem is that the master Qty on hand does not update from the custom fields, nor can I invoice a part by selecting a quanity from a custom field.
Will gladly help where I can to provide testing or patches. Overall this is a great application!

Would you be able to incorporate scheduling of trouble tickets ?
The build 2 of v5.1 doesn’t have a DUE DATE & TIME field on trouble tickets. I firmly believe that its a feature that many will adore.
A lot of service requests are logged as trouble tickets and in such cases, due date & time are highly essential.
And obviously it would also be really cool to have an action as ADD TO EVENTS which once clicked will put the trouble ticket on the due date of the calendar. When the ADD TO EVENT is clicked, it should straight forward go and save the data into calendar without giving the user an option to edit. If further edit is required, one can go to the event in calendar or edit the trouble ticket. The code then should be clever enough to search in the background whether or not this ticket is in calendar. If not, then present the ADD TO EVENT action or if present, present a UPDATE EVENT to update the details of the ticket on the calendar.
This would allow the details of the ticket to be consistent with its entry in the calendar.
Infact saying that I now feel that the ticket entry in the calendar should NOT BE EDITABLE at all. If editing is required, edit the trouble ticket and then press the action - UPDATE EVENT to update the details.
What is your view on this - vTiger & the community ?

I am currently using the old outlook plug in with 5.1.0-VB2 with some success.
Contacts sync ok, but the calendar creates duplicate events in outlook. Some “can’t delete” error. Likely Vista x64 or outlook 2007 are the source of the problem.

I can’t get the installation work properly. I have set the max_execution_time to 600 but I still can’t see the finish successfull window. I’m getting the window which says Finish but it’s all blank under it.
I have only 324 tables created in the database and it’s the same thing even if I check the box to populate with demo data.
I apologize to bother you with a question like this but I tried everything I could by myself by now and any help would be greatly appreciate.

Hi, I am testing 5.1.0 2nd validation. Wondering if anyone else is having a similar problem. In product selection (popup_picker) only products on the first page will select. If I Search or Alphabetically filter the list, the Select doesn’t work. I’ve verified this behavior on Purchase Order and Quote. Is something misconfigured on my system or is this a verifiable bug?

Calendar Labels messed up.
In Monthly Calendar View Saturday is listed twice, and thus messes up the numbering of the days.
Also - When a recurring event is created, it creates the event on the day you select and then the day after, and recurring period is based on the event that is created for the day after.
For instance, if i create an event on 5/15/09 and set it to recurring (lets say once a week), it creates the event for 5/15/09, then another for 5/16/09, then bases the weekly recurring off 5/16/09 instead of 5/15/09.
Other than that, great release. You guys have done an amazing job on this CRM system!
My calendar is still labeled wrong as well.

Hi, we working with the 5.04 and have installed the val2 vTiger as a Test. It works almost fine and fast. But by the Import from Data-Files (Contacts out of vTiger 5.04) is generally break after 250-300 Data-Sets. When we split the 5.04 Export-File down, then works the Import by val2 successfully.

No quick add for Account?
Just testing the quick create contact.
There appears no way to create a new account within the quick create contact. Is this correct?
The account select function is working but there seems no way to create a new account - since account is a compulsory field it makes this process awkward.
Am I doing it right?
I’ve created two custom picklist: Category and Subcategory in the Trouble Ticket.
Category and Subcategory are related, so I want to show ONLY subcategory related with a specific selected Category.
It seems in the current release insn’t possible, so please add thes feature.
I notice for Documents under Module Manager the Layout Editor does not allow you to create custom fields but allows Blocks to be added! This seems a bit strange (Why would you add blocks if you can’t add fields to them ?) Perhaps the option create fields was overlooked ?

Documents module information input and display views are customized compared to other modules of vtiger CRM.
Layout Editor feature provides generic interface to all the modules. We wanted to avoid special case handling (hard-coded to Documents modules) to remove certain features like adding the blocks/moving fields. This way implementation of Layout Editor will be clean. But we might have to leave with few limitations.

Quick create is limited to one module currently, so creating Account while creating Contact is not possible.
However, Account field can be made non-mandatory for Contacts module (if required) through Layout Editor.

I’m not a part of the developer team, but if you look at the roadmap (http://trac.vtiger.com/cgi-bin/trac.cgi/roadmap), you can tell that they make very good progress right now…
I prefer a stable and fast 5.1.0 over a super quick release. But I also would like to get my hands on 5.1.0 as fast as possible the new features are very promising!!! I’m still willing to wait till it’s really ready.

We update http://en.vtiger.com/wip demo server to the latest codebase (@12773) which has changes post vb2.
Some of the enhancements are:
* Lead conversion B2C support
* Module selection provided for Global search
* Loose coupling of Tooltip and Listview
* Duplicate search extended to custom fields

What about when individuals act as independent entities within a larger organization — like their own private business — and accounts, potentials, invoices, etc. are private for all users? If two users have an account with the same company and they use the same name for the account they get the “Account name already exits” error. I realize there is a workaround to this by entering AccountNameXXX, saving the account, and then renaming the account after it has been created, but is there a way to allow duplicate account names when private accounts is enabled? I think this would be very useful feature.
General logic could be:
IF accounts SET to Private (etc.) AND User has not created this account before {
allow duplicate account name creation
} ELSE message “An account name has already been created by this user…”

I see many people loosely refer to this requirement.
For a service industry quote etc; I guess it is best summed up with the formula:
quantity*perUnit*cost*margin = price
for consultant,
1 (person) * 6 (days) * $100 * 200% (markup) = $1200
the same applies to many service industries.
In future development Will the additional multiplier field of “perUnit” be added or is it available now somehow? Also for a particular “service” line entry, the Stock level would not be relevant.

* Lead conversion B2C support:
First of all it works - most important!!
On the other hand I think it’s not totally transparent/intuitive what happens if you convert the lead. I think the design of the “converting window” (= the window that pops up when you hit the convert lead button) needs to be updated.
It needs to show the account AND the contact.
The logic is, that there is always a contact generated and an account only if there is information in the account line of the lead. So show the contact in a separate line and show the account in a separate line… and if there is no account to be generated the account line should be shown in gray (or with a little comment “not generated”). Some users might try to fill the empty account line in the “converting window”, if there is no account, and wonder why you can’t fill something in here…

I´ve been trying to customize the quotes and SO layout but I can´t find a way to show Item Nº (Product Code) in a column, pushing users to create a pdf to view items , since Product names are fictional names and we need to Identify them by code.
Any chance to make it works?

My company just set up an account with you guys and we have about 5 different sales guys on it as well as about 6 other users. Everyone has set up their own calendars and has events and tasks but for somereason they are showing up on everyones. I make sure to not check the public button and there is no one listed under the sharing options. Its just an overload when we open up the calendars and we have to see everyones, its hard to keep track. Does anyone have an idea on how to fix this?

First off, if you paid for support it is likely on the 5.0.4 version NOT the validation build 5.1.0.
As for everyone seeing everything:
#1 make sure they are not set up with ADMIN privileges. Check each user account in “Settings > Users >”
#2 Under: Settings > Profile Privileges > Global Privileges
Make sure “View all” is unchecked because as it says, Allows “Sales Profile” to view all information / modules of vtiger CRM

Hi,
i dont know if there is a Bug or a Limitation in Field Formulas.
I will use 250 If Then Else If Formulas in a Field Expression, but vtiger accept only 25 Formulas when we use IE7 and 105 Formulas when we use Firefox 3.02. It will not save the Expression when over 25/105 Formulas included.

We have been testing 5.1.0 by using your demo sites, very exciting and impressive new development. We are working on a Vtiger 5.04 version and are quite new into Vtiger but have seen the light in what it is cable to do for our company.
We have already done quite a lot of configurations and customizations and important for us to know is how the upgrade will take place from 5.0.4 to 5.1.0. It would be great if we are able to keep what we have done so far and use it in 5.1.0. I hope you will be able to explain just in a brief how the upgrade will take place related to our present data and configurations.

Hi, I have a minor problem. When translating and a user is a non-admin I get a (red) Not Accessible on type of task (To Do)
1. This don’t happen if user is admin
2. This don’t happen if all modules are available for all user - even view
But it happens if:
1. User is a non-admin
2. Some modules are disabled

i am using vtiger 5.0.4 and i can’t find a way to prevent users from creating/editing/deleting/viewing tickets of other groups. We have hardware support and software support and both groups should just see their own tickets. Is this possible? Will it be possible in version 5.1?
If i use vtiger on a development system (reports notices), the software is not usable because i get hundreds of warnings on each page. Some subpages don’t even work because they just have short php tags. I don’t know any php software that produces so many problems when it runs on a development system. Will the code of the new version be cleaner?

The options you are referring to do, in fact, already exist in 5.0.4. They can be configured under Sharing Access from the Settings page. You need to setup an organizational sharing rule to privatize all the tickets and then a custom sharing rule to give access to the tickets on a group basis only. E.g. All tickets created by “roles and subordinates:hardware support” can be accessed (read/write) by “group:hardware support.” Hopefully that points you in the right direction.
As far as the warnings you get on every page, that is a problem with your development server and not the software. It is possible that your dev server does not meet the requirements of the software. I have implemented vtiger solutions on all kinds of servers/computers, and as long as the sys-requirements are correct you should not experience any issues.

thank you for your help with the tickets. I don’t know why i could not find that feature. It’s a little bit tricky to set up, but it seems to work.
My development server is ok. The vtiger setup suggests to disable notices of the php error reporting, but i didn’t want to to that on my development system. I’m using the notices to avoid misspellings in variables and array indices. (Shouldn’t everybody do this?)
I’m now using the php function ini_set to disable the notices in the vtiger’s index.php, so vtiger is usable on the development system and it don’t affect my own scripts.

I know you are continually being asked this, I do do know that good software development takes as long as it takes, but could you identify if you think that the release of 5.1 is likely to take place before the end of June 2009? Here in Australia, that’s the end of our financial year and I’m keen to introduce some new systems for next financial year that are dependentdent on 5.1. Or do you think the latest version is solid enough to use in a production environment yet (unofficially, of course)?

I have a little problem with the product selction ( popup picker) which was mentioned by lynn.
I followed the instructions from the ticket and the changeset and now the “Select product” -button dont work, only if i click on a product it can be added to sales order/quote etc. No “mass selection” available.

Its been more than a year that we had our last release!!
All of vtiger implementors, must have lost millions dollars of business because of unable to give any firm date to their customers!!
We have been salivating with the upcoming features since last one year, but now also not sure when we can deliver them to our clients, so that they can write us a fat check!! [this month end also is just a RC]
We have 160 open issues in the trac and not all are performance related!!
[Prediction (though I wish I’m wrong)], after another few months vtiger team will release 5.1 and there will be still lots of issues and everyone will wait for 5.1.1. [And this is not vtiger never fixed the reported issues, but not many in community have tested the application enough and reported issues, they’ll do when 5.1 is released]
I love vtiger and planning/hoping to build my whole new business on it and also to give back to them, but I’m so desperate to see a well organised way of development and release process!!
vtiger has wonderful tech guys, no doubt, but I’m wondering if they have any business guys, who understand the market dynamics!!

Is there a way to assign multiple serial numbers to a service contract ? and when customer logs into the portal they can see which system(serial number) is under contract and which one is not so they can place tickets appropriately and from a business side you can control what’s covered and what is not covered for support and charge T&M for what’s not under contract.
The serial number field should also be present under the ticket tab in the customer portal for identification purposes.

We are wondering if there will ever be a native timesheet application for vTiger. I know there are some you can add in, but they are quite buggy and don’t work well for us without lots of tweaking!
We would like to it so meetings that have been marked as “held” automatically appear in the assigned users timesheets, as well as be able to specify time was spent with a client on a support / consulting basis (without tickets) and be able to print them a bill for the support or consultancy time (varying rates) automatically.

It would be nice to have a “Print” button under Contacts so you could print addresses on envelopes, all at once.
And the option to add a document starting with “Dear ” which would be filled with selected contacts data and printed, all at once.
This is something almost any CRM is missing.

i also tried to do a fresh install using the .exe on a different machine. but still no luck.

My Apache version is Apache/2.2.3 (CentOS)
And my PHP version is Version 5.1.6
I am first asked if I want to install Apache 2.0.52 to which i say No.
Then I am asked if I have Apache on my server already and wish to use that to which I answer Yes
Finally I am asked if I want to install PHP version 5.1.2 to which I answer No
And then the these 3 questions loops for ever!
What do I do?

Just wanted to say that I have had to choose SugarCRM over Vtiger, not because I think it is better but because of the lack of information (documentation, roadmap, forums, etc)and the lack help on the forums (just so happens that the unanswered issues are the exact ones that I am dealing with).
I was really hoping to implement vtiger as I think it is exactly what I need at the moment but I can’t justify wasting time trying to figure it out when there are alternatives which are far easier and quicker to implement, with far greater help when you need it.
Again, I think it is a great product but far mor attention needs to be paid to ease of deployment and ease of maintainace.
