
Karnataka Milk Federation (KMF) is a three-tier dairy cooperative organization in Karnataka, comprising Dairy Cooperative Societies, District Cooperative Milk Unions, and the state-level Milk Federation. KMF operates the Nandini brand, a well-established household name in Karnataka.
Before Vtiger, KMF managed customer complaints and inquiries through phone calls, email, WhatsApp, and Excel. The process was largely manual, making it difficult to maintain a centralized record of customer interactions and complaint history.
Complaints received at headquarters had to be manually forwarded to the respective Union, with additional coordination required with the Quality Control team. KMF also lacked a centralized, real-time view of pending and resolved complaints across its Unions.

KMF implemented Vtiger CRM to centralize complaint and inquiry management. Complaints received through different channels could be recorded and tracked within the CRM, along with customer details, emails, attachments, and complaint status.
Vtiger streamlined complaint assignment by allowing KMF to assign cases to the appropriate Union, Area, and Nodal Officer. Once assigned, emails could be automatically forwarded to the respective Union, with the Quality Control team CC'd.
The CRM also brought supporting documents and attachments into the complaint record, while product-related, Parlor, and Factory Visit inquiries could be categorized and routed through the same system.
Vtiger also enabled KMF to track complaints and union-wise performance through its Dashboard and Reports feature.
