AI Agents for software applications are on the cutting edge of AI capabilities and are the primary focus for 2025. These intelligent assistants are poised to transform how employees and customers access information. They will go far beyond simple chatbots, offering advanced capabilities to understand and respond to various queries.
For employees, AI agents can serve as assistants capable of referencing specific information from a knowledge base, relevant company policies, procedures, and training materials. They can also automate routine tasks, such as scheduling meetings or submitting expense reports, freeing valuable time for more strategic work.
For customers, AI agents can provide 24/7 support, answer questions, resolve issues, and even make personalized product recommendations. They can also handle complex transactions, such as processing orders or managing returns, both quickly and accurately.
You might wonder why your business needs multiple AI Agents when one AI interface like ChatGPT is capable of answering any question or request. The reason for having job-specific AI Agents is to improve accuracy and be able to train the agent with company-specific information and actions. Generic AI interfaces are more reactive rather than proactive, whereas AI Agents can be both. A job-specific AI Agent is trained with specific data sets to prevent the application of incorrect information or invoking the wrong action without that information and training process.
AI Agent Overview
Each AI Agent is configured with one or more Topics that help guide the agent on its capabilities and provide information about its domain. Each Topic will have specific actions the agent can invoke to respond to queries. To respond to a query, the AI Agent uses an LLM to interpret the natural language query and then uses the domain information in the topics, to autonomously determine the sequence of actions to be performed.
Automatic generation of Agent Topics and Actions
Vtiger’s Agent Builder (part of Calculus AI) makes it easy for administrators to create agents. Agent Builder is trained on your Vtiger modules, APIs, Prompts, existing Topics, and Actions. This comprehensive training methodology helps AI Agents prioritize the tasks needed and offer quick and relevant information.
An administrator needs to describe (in English) the purpose of the agent, the names of topics it should know, and actions it should be able to perform. Calculus AI will then use its knowledge of your Vtiger instance and leverage the power of LLMs to automatically perform the actions described. The possibilities are truly endless with the right data and building process. Below are just a few examples of Agents you could create.
- A Deal Management Agent can provide a Deal summary and help with both creating and updating Deal records when requested or required.
- A Lead qualification Agent can be trained to analyze and prioritize sales leads based on potential value. This will supplement your Sales Team members, allowing them to best use their time during the day and expedite their outreach towards Leads most likely to close or others where communication may have lapsed.
- An Expense Approval Agent can be trained on a company’s expense and reimbursement policies to approve expense submissions without user input.
- A Customer Service Agent can be trained on FAQs and Articles along with how to extract customer-specific transactions to provide personalized responses to customer queries.

- A Report creation agent can generate reports easily by taking the user’s natural language query in English or other languages.
- An Administrative agent can help add custom fields or business flows through natural language commands. This saves time in both the time needed for onboarding new administrative users and also in the time spent in making customizations within the CRM.
